POLICIES & AGREEMENTS
Auto-Draft & Monthly Billing
Terms & Conditions:
All tuition accounts are set to auto-draft on the 1st of each month using the primary credit or debit card on file in your parent portal.
- Draft Date: 1st of every month.
- Late Fee: A $25.00 late fee will be applied to any account if payment is not successfully processed by the 5th of the month.
- Returned Payment Fee: A $35.00 returned payment fee applies to declined, failed, or returned transactions.
- Delinquent Accounts: If an account becomes more than 30 days past due, the athlete will not be permitted to attend practices, classes, competitions, or team events until the total balance is paid in full.
- Manual Payments: Families wishing to pay via cash or check must submit payment prior to the 1st of the month to prevent the automatic card charge.
Withdrawal, Drop & Refund Restrictions
Terms & Conditions:
All tuition, registration fees, competition fees, choreography, music, camps, uniforms, and apparel payments are 100% non-refundable and non-transferable once paid or committed on behalf of the athlete. Tuition is not prorated for missed practices, holidays, family vacations, or gym closures.
- Recreational & Preschool Drop Policy: To drop or pause enrollment in Recreational or Preschool classes, parents must notify the front desk in writing by the 25th of the current month. If written notice is received by the 25th, your child will be dropped from the roster and you will not be charged on the 1st for the upcoming month. Drop requests received after the 25th will process as scheduled, and tuition for the upcoming month remains non-refundable.
- Competitive & Team Policy: Competitive Allstar Cheer, Competitive Dance, and Half-Year Cheer programs represent a full season commitment. Because routines, stunt groups, and choreography are built around committed athletes, team members are financially responsible for the full season upon signing.
Annual Registration Fees
- Recreational & Preschool Programs: A $50.00 annual registration fee is charged at the time of initial registration and will automatically renew every year on your anniversary date of enrollment thereafter. Registration fees are strictly non-refundable.
- Competitive & Team Programs: All competitive team athletes are charged a $50.00 annual registration fee due annually on June 1st. Registration fees are strictly non-refundable.
Communication & Parent Code of Conduct
- Official Channels: Primary communication is sent via email, the parent portal, and official team communication apps (e.g., Band app). Please do not opt out of portal emails.
- Communication Etiquette: Parents are asked to reach out via email (admin@elementcad.com). Please do not attempt to speak with coaches during active practice times or message coaches on personal social media platforms.
- The 24-Hour Rule: If you have a concern regarding routine placement, coaching decisions, or event outcomes, please wait 24 hours before requesting a meeting to allow for calm, productive communication.
- Viewing Area & Lobby Etiquette: Parents and siblings are not permitted on the active gym mats unless explicitly invited by staff. Please do not drop off athletes earlier than 15 minutes prior to practice start time.
- Social Media Policy: Positive promotion of athletes, teams, and gym culture is encouraged! Negative comments regarding coaches, athletes, judges, or other gym programs—as well as posting unapproved full-length routine videos—are strictly prohibited.
STUDENT POLICIES
Medical, Injury & Safety Policy
- Illness: Athletes with a fever, vomiting, or diarrhea must be symptom-free for at least 24 hours without medication before returning to class or practice.
- Injuries: Parents must inform coaching staff directly of any physical limitations or injuries. A doctor's medical clearance note may be requested before an athlete returns to full impact participation following an injury.
- Emergency Medication: Rescue medication (EpiPens, inhalers, diabetic supplies) must be declared on the athlete's medical form and stored safely with staff awareness. Athletes may not keep unmonitored medications in personal cubbies or gym bags.
- Emergency Authorization: In the event of a medical emergency during an Element activity, staff will contact parents/guardians immediately and are authorized to seek emergency medical services if required.
Bullying & SafeSport Protection
Terms & Conditions:
Element Cheer and Dance maintains a zero-tolerance policy for bullying, exclusion, or harassment of any kind (physical, verbal, emotional, or cyberbullying). Staff are credentialed and trained under SafeSport compliance standards to ensure minor protection.
Violations of our behavioral expectations may result in verbal warnings, mandatory parent conferences, temporary suspension, or immediate dismissal from the program without refund.
Before & Afterschool Transportation (Conditional)
Applies only to transportation students
Terms & Conditions:
By enrolling in van pickup services, parents authorize Element staff to transport the designated student between local academic institutions and the gym facility.
- Absence Notification: Parents must notify Element staff by 1:00 PM if a student will be absent from school or picked up early by a family member.
- Vehicle Safety: Athletes must remain seated with seatbelts fastened securely at all times. Unsafe vehicle behavior may result in removal from the transportation program without refund.
- Emergency Care: Parents authorize Element staff to obtain necessary emergency medical care in the event of a vehicle incident if guardians cannot be immediately reached.
